DMC Ground Transportation Partner in Los Angeles

When your program lands in Los Angeles, you need a local operator who executes to your standard and stays invisible to your client. We work as a white-label ground-transportation partner for DMCs, incentive houses and meeting agencies — your brand in front of the guest, our dispatch behind it, and one wholesale invoice at closeout.

Who this is for

For agencies who own the client relationship

Your client hired you. Our job is to make your program run and let you keep the credit:

Destination management companies

Local execution you can commit to a client before you have staff on the ground, with a fleet that scales to the program.

Incentive houses

Arrival waves handled cleanly, guests greeted in your program's name, and no surprises in the final reconciliation.

Meeting & conference agencies

Shuttle-and-sedan mixes across hotel blocks and venues, with manifests that match your rooming list.

Event producers

Vehicles staged to a run-of-show, an on-site coordinator when the program warrants one, and someone who answers at 2 AM.

What we manage

How the partnership actually works

  • White-label guest care — greeters and communications carry your program identity, not ours. Guests experience your brand.
  • Airport manifest handling — your arrivals list becomes a tracked manifest; we do not ask your client to book anything.
  • Non-solicitation — your client stays your client. We do not market to program guests during or after the event.
  • Scalable fleet — sedans through Sprinters, scaled to the program, with the owned-versus-affiliate split disclosed in writing.
  • On-site dispatch — for larger programs, a coordinator on the ground managing staging and live changes.
  • Wholesale billing — net or partner rate structure, one consolidated invoice, reconciled against the approved manifest.
  • Documentation on request — certificate of insurance, W-9 and operating credentials provided for your vendor file.
  • After-action reporting — completed movements and exceptions summarized at closeout, so your client debrief is easy.

Fleet fit

Vehicles matched to passengers, luggage and role

Practical capacity by class — exact fit confirmed in your written proposal; luggage, equipment and child seats reduce usable seats.
ClassPassengersLuggageTypical program role
Executive SedanMercedes-Benz S-Class or comparable 2–3 2–3 large bags VIP and executive guests within your program
Luxury SUVCadillac Escalade ESV or comparable 5–6 5–6 large bags Standard guest movements and airport arrivals
Sprinter VanMercedes-Benz Sprinter up to 14 Group luggage + gear Group shuttles between hotel blocks, venues and activations

Owned vs managed capacity: Programs are delivered with our directly operated vehicles plus vetted affiliate capacity when a movement requires more vehicles than we operate ourselves. The split for your specific program — how many vehicles are ours and how many are partner-supplied — is stated in writing in your proposal.

How the program runs

From first brief to final invoice

  1. Discovery

Passenger counts, vehicle classes, dates, venues, airports and standby windows are captured in one brief — no re-explaining the itinerary to three people.

  2. Route & schedule plan

Movements are sequenced against real Los Angeles traffic patterns and event-day road closures, with buffers where the schedule is tight.

  3. Manifest build

Passengers, pickup points, times and vehicle assignments are consolidated into one manifest you review and approve before the first arrival.

  4. Vehicle & chauffeur confirmation

Vehicle classes and chauffeur assignments are locked, with the backup plan identified for each movement.

  5. Advance chauffeur details

Chauffeur name and contact are shared ahead of each movement to the contacts you designate.

  6. Live execution

Dispatch monitors flights and movements in real time; one operations contact owns your program for its duration.

  7. Schedule changes

Changes route through the same operations contact — no re-booking through a consumer form mid-event.

  8. Escalation

A named escalation path covers delays, vehicle issues and last-minute additions, including after hours.

  9. Reconciliation

The program closes with consolidated billing against the approved manifest rather than scattered per-ride receipts.

Buyer questions

Partner questions

Will our client know you are involved?
Only if you want them to. Standard practice is white-label: greeter signage, guest communications and on-site presentation carry your program identity. Non-solicitation is part of the partner arrangement.
What are your partner rates?
Rate structure — net, commissionable or program-specific — is quoted against your actual program rather than published as a list, because vehicle mix, duration and standby hours change the economics. Send a program outline and you get a written structure back.
Can you provide a COI and W-9 for our vendor file?
Yes. Certificate of insurance, W-9 and operating documentation are provided on request for vendor onboarding. See RFP and procurement for the full document set.
How large a program can you take?
Programs are delivered with our directly operated vehicles plus vetted affiliate capacity when a movement requires more vehicles than we operate ourselves. The split for your specific program — how many vehicles are ours and how many are partner-supplied — is stated in writing in your proposal. For multi-vehicle scale specifically, see 10+ SUV fleet and standby.
How fast do you respond to a program request?
Program requests are answered by a person, not a ticket queue. Send the dates and passenger counts and you will get either a plan or a clear "we cannot cover that week" — the second answer fast enough to be useful.
Do you work outside Los Angeles?
Our operating base is Greater Los Angeles and Southern California, including Orange County and the surrounding region. For programs extending beyond that footprint we will tell you where our direct capacity ends rather than quietly subcontracting a city we do not know.
